Summary
The Accounts Payable Clerk will be responsible for processing vendor invoices, ensuring the accuracy of payments, and maintaining precise financial records. This role requires a highly organized individual who can manage multiple tasks in a fast-paced environment. You will work closely with the finance team to ensure all payments are processed efficiently, assisting with month-end close activities and helping maintain compliance with financial regulations.
Duties and Responsibilities:
Invoice Processing: Receive, review, and verify invoices for accuracy, appropriate approvals, and proper general ledger coding.
Payment Processing: Prepare and process electronic transfers, check payments, and other forms of vendor payment in a timely manner.
Vendor Relations: Communicate with vendors regarding invoice discrepancies, payment inquiries, and any other accounts payable-related issues.
Expense Reporting: Assist in managing employee expense reports, ensuring that all supporting documentation is accurate and in line with company policies.
Reconciliation: Perform monthly reconciliations of vendor statements and resolve any discrepancies or issues.
Record Keeping: Maintain accurate and up-to-date files of all payable transactions, including invoices, payment records, and supporting documents.
Month-End Close: Assist in the month-end close process by preparing relevant financial reports and ensuring all payable transactions are recorded appropriately.
Compliance: Ensure all financial transactions comply with company policies and procedures as well as legal regulations.
Collaboration: Work with internal teams such as procurement, operations, and finance to ensure seamless accounts payable processes.
Reporting: Assist in generating accounts payable reports for management and senior leadership, providing insights into outstanding payables and cash flow impact.
Qualifications
Associate’s degree in Accounting, Finance, or a related field (Bachelor’s degree preferred).
2+ years of experience in accounts payable or general accounting, preferably in a fast-paced environment.
Strong understanding of accounts payable processes, including 3-way matching, coding, and reconciliations.
Proficiency in accounting software and Microsoft Office, particularly Excel.
High attention to detail with excellent organizational and time management skills.
Strong problem-solving skills and the ability to resolve discrepancies in a timely manner.
Effective communication skills, both written and verbal, with the ability to interact with vendors and internal departments professionally.
Ability to work independently and as part of a team in a dynamic, fast-paced environment.
Familiarity with financial regulations and compliance requirements.
